How to write a vacation order

The form begins with a header, which indicates that this is “unified form No. T-6”, as well as the name of the organization, document number and date of its compilation. They fill out the Order on granting leave to the employee with the words “Grant leave”, after which the last name, first name, patronymic of the employee, the name of the structural unit, position, specialty or profession of the employee are prescribed in the dative case.

If leave is granted to several employees, then the unified form No. T-6a “Order (instruction) on granting leave to employees” is used.   • Maternity leave.

  • Child care leave.

How long before vacation is an order issued?

The Labor Code of the Russian Federation does not directly establish in the norms the time periods for issuing a vacation order. On the other hand, the legislation establishes the obligation of the employer to notify the employee of the onset of his vacation at least two weeks in advance.

The form of such notification may be expressed in a leave order in which the employee affixes his visa as confirmation. If the company uses this method of notification, then the leave order must be issued at least two weeks in advance.

Also, all payments due to the employee must be made at least three days before the start of the rest period or within three days from the date of application for leave.

Attention! Since vacation pay is accrued according to the order, its execution must also be made before these established deadlines.

On what basis is the order issued?

To issue an order for leave, you need to receive an application for leave from the employee in the name of the manager. However, it must be remembered that the main vacation can be provided on the basis of the vacation schedule approved for the current year, if in this local normative act strictly defined start and end dates.

The application for leave must be made by the employee himself. If the enterprise has templates, then you can use them by entering your data in the appropriate fields. If non-basic or additional leave then copies of supporting documents must be attached to the application.

The vacation schedule is drawn up for the next year at the end of the current one. Legislation requires that it be put into effect at least two weeks before the end of the year. After that, the administration must familiarize each employee with it against signature, and when the start of the rest period approaches, notify him in the appropriate form about this two weeks in advance.

Attention! If vacation is granted on the basis of an approved vacation schedule in established by the document deadlines, then it is not necessary for the employee to write an application for leave. The company must send an employee before it starts.

To formalize the rest provided to the employee by the administration of the enterprise, an order is drawn up. For this purpose, the unified form of the T-6 leave order approved by Rosstat can be used.

But the company, using it as a basis, can develop its own document. Or use a letterhead, where the text of the order will be fixed in free form. In the latter case, it is necessary that the required details are present in the text of the document.

The unified form T-6 at the top should contain the name of the economic entity, if there are structural divisions, the name of the corresponding department is also recorded here. Next to it is indicated assigned to the company during registration with Rosstat.

In the middle, you should write the names of the instructions of the leadership, as well as the order number assigned when fixing in the book of orders. The order date must be present. These details will be reflected in all related documents in the future.

After that, the period of time of work for which the employee is issued leave is indicated. This must be done for basic and additional holidays.

The year of work that determines the right to leave should be indicated from the date of admission, taking into account previously received holidays, and not from the beginning of the calendar. This information is calculated by the personnel specialist based on the data personnel records.

Then the order in the T-6 form is subdivided into paragraphs A, B, C.

Subsection A serves to reflect in it information on the period of the main vacation. It reflects the beginning and end, as well as the duration of the vacation.

Subsection B should be completed when all other types of leave are issued. Therefore, when starting to fill it out, you need to indicate the name of the leave provided (additional, without maintenance, childcare), and then reflect the start and end dates of this period, as well as the duration of the leave.

Subsection B is final, since it reflects the total duration of all holidays provided to the employee, as well as the beginning and end of the entire rest period. If only the main one is drawn up, then the information in the subsection is simply duplicated previous entry.

At the bottom, the employee must put an introductory mark on familiarization with the order. Here his full name is deciphered. and the date the document was read.

How to issue an order for leave in the form of T-6a

Order T-6a is intended for issuing leave for several employees at once using one single document. It is a large table in which information about the duration and period of rest is entered line by line.

First of all, you need to write off the full name of the company in the form, and separately in the column to the right of the name - the company code according to the OKPO directory.

Further, next to the name of the document, it is necessary to put down its serial number, and then the date when the filling is performed. Under this number, the order will need to be registered in the register of orders for the enterprise.

The order of filling the columns of the table is as follows:

  • Column "1" - full name is indicated. employee;
  • "2" - his personnel number is recorded;
  • "3" - indicates the name of the department or division in which he works;
  • "4" - his position is recorded according to the staffing table;
  • "5" - here you need to enter the number of days of the main vacation. This column is analogous to section "A" from order T-6. If such a vacation this moment not provided, you need to put a dash;
  • "6" - here you need to write down the number of days of additional vacation. It includes leave due to harmful conditions, educational, without maintenance, maternity leave, etc. This column is similar to section "B" of the T-6 order. If such leave is not granted, then a dash is entered here.
  • "7" and "8" - the dates of the beginning and end of the period for which the leave is granted are entered here. For annual leave, this will be a working year, for some types of additional leave, it will be a calendar year, etc.
  • "9" - this column is written total number days for which the employee goes on vacation. The number is obtained by adding the number of days from columns 5 and 6.
  • "10" and "11" - start and end dates are written here general period recreation.
  • "12" - after reading the order in this column, the employee must put down the date and personal signature.

After filling, the order is signed by the director of the company, affixing his signature and transcribing it.

What documents are also required for vacation

When making a vacation, in addition to the order, several more documents are most often drawn up:

  • Vacation Notice(in the case when the employee goes on vacation according to the schedule. The employee needs to send it 2 weeks before the vacation);
  • Leave application(drawn up by the employee himself. Usually, an order is drawn up on the basis of the application);

The Labor Code of the Russian Federation allows employees to go on vacation, this can be annual paid leave, as well as leave related to pregnancy, childbirth and raising a child, and leave can be additional paid and without maintenance. Whatever the vacation, it must be documented.

The order has a standard form, which includes the name of the organization, the number and date of the order. In this case, the date is the day the employee goes on vacation.

  • We indicate to whom we provide leave: full name, personnel number, division, position.
  • We also enter the period of work for which the vacation is granted.
  • Next, you need to decide what vacation the employee goes on. If the employee goes to the next paid one, then fill out section A, indicate the duration of the vacation and the dates of its start and end.
  • Other types of vacations are issued in section B - the name of the vacation and its duration are indicated.
  • The head signs and approves the order and the document is given to the employee for review.

According to article 114 Labor Code(Labor Code of the Russian Federation), the employer annually provides the employee with paid leave, which is issued in the form of an order for the enterprise (organization). The unified form T 6 of the vacation order was approved by the Decree of the State Statistics Committee of the Russian Federation of 01/05/2004 No. 1 and corresponds to code 0301005 of the all-Russian classifier management documentation (OKUD). The average salary and position when taking a vacation are retained by the employee. The duration of the rest period is 28 calendar days. Also, the employee on the basis of the current Russian legislation an additional annual paid leave may be granted (Article 115-120 of the Labor Code of the Russian Federation) or leave without pay (Article 128 of the Labor Code of the Russian Federation). The duration of the rest period is calculated not in working days, but in calendar days, but without including non-working days. public holidays falling within this time interval.

For an employee to receive leave, there must be appropriate grounds (Article 122 of the Labor Code of the Russian Federation):

continuous work for at least six months with a specific employer in the first year after registration;

· Leave before the expiration of the six-month period of continuous work may be granted, upon appropriate application, to employees under the age of 18, adoptive parents of children under three months of age, and women before going on maternity leave and immediately after it.

The employee is notified of the start time of the vacation at least two weeks before it starts, signing the order, the unified form T 6 of which is considered here. Vacation time will have to be extended if the employee brings sick leave issued during vacation.

The unified form T 6 has a certain filling sequence. Everything is quite simple. An order form is available to fill out. This is done by an employee of the personnel service or an accountant. The form must be completed in accordance with the requirements of Chapter 19 of the Labor Code of the Russian Federation.

The unified form T 6 is filled out as follows:

  • as the name of the organization, its full name is indicated, which must correspond to the statutory documents;
  • OKPO;
  • number and date of the order, which is drawn up;
  • surname, name and patronymic of the employee in full, indicating his personnel number;
  • the name of the structural unit with an indication of the position held;
  • the period of work for which the vacation is issued;
  • letter A - the number of calendar days indicating the dates of the beginning and end of the main paid vacation;
  • letter B - the number of calendar days indicating the dates of the beginning and end of additional paid leave, educational, without pay or other type of leave;
  • letter B - total duration, indicating the start and end dates of the main and additional holidays;
  • signature of the head of the organization indicating the position, surname and initials;
  • personal signature of the employee going on vacation, on familiarization with the order, indicating the date.

The employer, according to the law, must periodically provide its employees with rest time. Vacations happen different kind. There are educational, childcare, and other additional holidays provided for special working conditions. The firm must correctly draw up these periods. The fundamental document is a vacation order, let's consider how to draw it up correctly.

Mostly, annual vacation worker at the enterprise is equal to 28 days. At the same time, for each month of work, 2.33 days of rest time are required.

If the number of calendar days of activity in a month is less than half, then during the calculation it is discarded, and more than 15 days is considered as a whole.

The right to leave for the first time is granted if the employee has worked for at least 6 months. To receive it, the employee must, on the basis of which the vacation order is filled out.

When a person works in a company more than a year, leave is granted according to the approved . Fourteen days before its start, the personnel service warns the employee about the start and end dates of the rest time, and the worker submits a corresponding application. Notification can be omitted if the order form t-6 is issued in advance and brought to the attention of the employee two weeks in advance.

Another paid vacation time includes parental leave up to one and a half and three years. As a rule, it begins immediately after the end of the sick leave due to pregnancy and childbirth. An application must also be submitted 14 days before it starts.

In practice, there is often unpaid leave, which is provided by the administration of the company in certain cases at the written request of employees.

Regardless of the type, this rest time must be issued by order of the director. The company can use the T-6 leave order form, which is approved by the State Statistics Committee, or a self-developed form in compliance with the required details.

When placing an order, a note-calculation is also issued, which is sent to the accounting department to calculate its payment. These orders must be entered in. The vacationer is marked with the code “FROM”.

Order on granting leave to an employee sample filling

At the top of the T-6 form, the name of the company is recorded, and the code for registering it with OKPO is affixed. The order must have a number in order and the date of its execution. Below, data on the personnel number, full name, position and structural unit in which the employee going on vacation works are filled in.

Then you need to specify the period for which the person is granted leave. If used throughout the rest period, it should be equals a year. The personnel officer can look at this information in a personal card or read similar orders for the previous vacation.

Below, its type and duration are recorded with the obligatory indication of the start and end dates of the rest time. In the next line, information is filled in about additional leave or its other types, and also its duration, the beginning and end of the rest time are determined here.

The employee must be familiarized with this document against signature. The date the order was issued must be entered.

Nuances

Some categories of employees are entitled to additional leave. For example, for a PC operator, an additional 6 days are added to the main vacation for special working conditions. When issuing an order for annual paid leave, in this case, you need to split it between sections "A" and "B" of the document. The main time (28 days) is indicated in the first section, the second - as additional (6 days) in the second. Only the total line records 34 days.

If an employee applies for parental leave up to 3 years, then two orders must be issued for her - first up to one and a half years, then up to three. At the same time, their end dates are the days when the baby turns 1.5 and 3 years old, respectively.

In a company, it is very common for several employees to go on vacation at once. In this case, it is allowed to draw up a general order, for which the form t-6a is provided.
