If the document requires execution and is taken for control, a control mark is affixed to it in the form of the letter “K” (control) or the word “Control”. This mark can be applied with a rubber stamp or handwritten in bright red, blue, green pencil.

The results of the check are documented in an act.

The head of the organization is informed about the facts of the loss of documents, cases and publications containing official information of limited distribution, or the disclosure of this information, and a commission is appointed to investigate the circumstances of the loss or disclosure. The results of the investigation are reported to the leader who appointed the commission.

An act is drawn up for lost documents, cases and publications marked "For official use", on the basis of which appropriate marks are made in the accounting forms. Acts on the lost cases of a permanent storage period after their approval are transferred to the archive for inclusion in the fund's file.

When removing the mark "For official use" on documents, files or publications, as well as in accounting forms, appropriate marks are made and all addressees to whom these documents (publications) were sent are informed.

The requirements of the paragraphs of this Procedure also apply to removable machine media containing information of limited distribution. The media used to record protected information must be taken into account in the records management of departments. The registration number, the mark “For official use”, the date and the signature of the employee responsible for recording the media are affixed on the magnetic media.
